JOB DESCRIPTION
Senior Executive Secretary
Key Responsibilities:
- Deliver end-to-end secretarial and administrative support to the Chairman’s office, ensuring seamless operations.
- Manage intricate scheduling, including coordinating meetings, appointments, and international travel itineraries (flights, accommodations, visas, and ground transportation).
- Oversee personal and family-related affairs, including event planning, household coordination, and confidential matters.
- Act as a liaison between the Chairman and internal/external stakeholders, maintaining discretion and professionalism.
- Handle financial tasks such as expense reporting, invoice management, and budget tracking (prior accounting/financial experience is advantageous).
- Proactively anticipate needs, resolve conflicts, and address ad hoc requests with agility.
Requirements:
- Minimum 10 years as an Executive Assistant or Personal Assistant, preferably supporting C-suite executives in a large corporation or high-net-worth family office.
- Mastery of complex calendar management and global travel coordination.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with basic accounting/finance principles is a strong plus.
- Unwavering discretion and ability to handle confidential information.
- Exceptional organizational skills with meticulous attention to detail.
- Polished communicator with fluency in English and Chinese (written and spoken).
- Proactive, adaptable, and solutions-oriented mindset.
- Strong interpersonal skills and grace under pressure.
